Position Overview
The Corporate Events Planner manages the entire registration, external communication, travel logistics and event follow-up process for all Griffin Capital hosted events. The position serves as the onsite point person for all attendees and coordinates special billing requests, transportation changes and provides general customer service to all guests. Reporting directly to the Director, Corporate Events, the position works closely to coordinate attendee needs with overall event design.

Essential Duties and Responsibilities
All areas of responsibility listed below are essential to the satisfactory performance of this position by any/all incumbents, with reasonable accommodation, if necessary. Any non-essential functions are assumed to be other related duties.

  • Handle pre-event registration processes to ensure proper planning and communication of corporate events.
  • Disseminate electronic communications to attendees including invitations, reminders and follow-up. Work with Sales to make sure reps are registered and taken care of during registration, manage registration wait lists.
  • Manage travel logistics for up to 250 attendees per event including air travel, lodging, airport transfers, and ground transportation while maintaining a highly personalized level of service. Review and approve requests for deviating dates, locations, and/or costs.
  • Manage contracted hotel room nights including availability, individual billing requests, deadlines, requests to extend stay, and cancellations.
  • Prepare and circulate daily registration report to sales team, launch reminder campaign and work with Sales to reinforce and send out welcome packets to all registered attendees
  • Prepare individual attendee meeting materials including name badges, place cards, and electronic welcome packets.
  • Build and manage registration websites with Cvent platform.

Qualifications and Experience
The ideal candidate will have the following qualifications and experience:

  • One to three years of corporate event planning experience.
  • Bachelor's degree (B. A.) from four-year college or university; or equivalent combination of education and experience.
  • Ability to develop and successfully maintain new relationships with vendors such as hotels, travel agencies, car services, promotional item suppliers, etc.
  • Experience with Microsoft Suite including Outlook, Word, Excel and PowerPoint. Knowledge of C-Vent and SalesForce desired.
